Who we are

Fima Vantage LLC makes simple record-keeping apps. This policy covers all of them: Ledgibilify, Clockright and Ledgerability. Each app has its own section below, followed by the full legal policy.

We don't sell your information, show ads, or use advertising trackers. We use your information only to run the apps you use.

Questions or requests about your information: info@fimavantage.com.

Services every app uses

Vercel (hosting)
Runs the apps and keeps short-term technical logs (such as IP address and pages requested) to operate and secure them.
Neon (database)
Stores the information you enter. Neon only stores it and serves it back to our apps.
Resend (email delivery)
Delivers the emails our apps send, such as sign-in links, invitations and reminders. It receives the recipient's name, email address and the message, only to deliver it.
Sentry (error reports)
When something breaks, a report of the error is sent to Sentry so we can fix it. It can include technical details about the page and device, and may include the signed-in person's account identifier. We don't record screens or sessions.

Ledgibilify

Income, expenses and tax records for rental property owners.

What it stores
The properties, transactions, tenants and work log entries you enter, and the names and email addresses of people you invite to your account.
Connected services
If you choose to connect them, bank connections (Plaid) and Google sign-in or Gmail access are described in the full legal policy below.

Clockright

Employees submit their hours, a Manager approves them, and the Accountant runs payroll. Clockright is used by businesses (“employers”) for their own staff.

Your employer is in charge of your information
Your employer decides who is added, what roles they have, and when they are removed. We store and process the information on your employer's behalf, to provide Clockright to them. If you have a question about your hours or pay, or want information corrected or removed, please contact your employer first. You can also contact us.
What it stores
  • Your name, email address, and your roles in each company (Employee, Manager, Accountant, Admin).
  • The hours, overtime, commission and notes you submit for each pay period.
  • Approvals and send-backs, including the Manager's notes, with who did what and when.
  • Payroll records: who was paid for a period and who missed it, and why.
  • A copy of each email Clockright sends, so the company can see what was sent and when.
Who can see it
Only people in the same company, according to their role: Managers and Admins see submitted hours to approve them; the Accountant sees approved hours to run payroll. Fima Vantage can access it to operate and support the app.
Phone and computer notifications
Only if you turn them on. Your device's push service (Apple, Google or Mozilla, depending on your device and browser) delivers them, and we store an address for your device plus its type. Turning notifications off removes that address. Notifications contain short messages such as reminders and approval updates.
Cookies
Two cookies, both needed for the app to work: one keeps you signed in (for up to 60 days), and one remembers which company you're viewing. No advertising or analytics cookies. Your browser also remembers if you dismissed the notifications prompt.
When someone leaves
When an employer removes a person, they can no longer sign in to that company and stop receiving reminders and emails. Their past hours and payroll records stay in the company's history. To ask for them to be deleted, contact the employer or us.

Ledgerability

Bookkeeping for small businesses, run by their accounting firm. Clients see their firm's name (for example, FIMA Professional Services Client Portal), with “Powered by Ledgerability” at the foot of the page.

Your firm and your business are in charge of your information
The accounting firm and the business decide who has a login and what each person can see or do. We store and process the information on their behalf, to provide Ledgerability to them. Please contact them first about corrections or removal. You can also contact us.
What it stores
  • The business's books: transactions, accounts and reports.
  • Its customers, estimates, invoices, payments, credits and deposits, and its vendors and bills.
  • Pictures of checks and deposit slips, bank statements and other files people upload.
  • Questions and answers between the firm and the business, with any photos attached.
  • The names, email addresses and roles of people with a login, and a record of who did what and when.
Signing in
Your password is stored only in scrambled (hashed) form, and a code from an authenticator app is always required. One-time recovery codes are stored the same way.
Bank connections (Plaid)
Only if the business chooses to connect its bank. Plaid passes account details and transactions to Ledgerability. We never see bank passwords. The business can disconnect at any time.
Emails to the business's customers
Estimates, invoices and statements are emailed to the business's customers on its behalf, so their names, email addresses and billing details are stored. Replies go to the business, not to us.
Who can see it
The accounting firm, and people at the business according to the role they were given. Fima Vantage can access it to operate and support Ledgerability.
Cookies
One, needed to keep you signed in. It ends after 30 minutes without activity, or 12 hours at most. No advertising or analytics cookies.
How long it's kept
As long as the business and its firm need it for accounting and tax records. Uploaded proof (checks, deposit slips, statements) is kept as part of those records. To ask for information to be removed, contact the firm or us.
